Application Overview
The Department of Social Services had approximately 60,000,000 paper documents in several hundred thousand files.
The documents were the only record of note and were heavily used.
With a change of address in their future DSS decided prior to moving locations they should to have all documents imaged an indexed and install an image platform to manage all documents going forward. The 2 key requirements for the project was to undertake the conversion onsite and complete it within 6-9 months
Scope of Work
FNTI started by defining a set of procedures to reduce the amount of documents that needed to be imaged as many pages were irrelevant. This process of sorting the files reduced the library by half. AT the peak of the process FNTI had 125 staff members onsite at the archive location in Nassau County.
Once the pages had been sorted FNTI then scanned each document on one of 25 high speed paper scanners. Each image was then QC’d and indexed by key fields including one of 100 Document Types.
Results
FNTI is due to complete the project within 9 months of scanning commencing.
