FNTI's proven conversion process is both high-speed network based
and automated via our Production Control Database (PCD). This
combinFNTIon enables real-time tracking and reporting of the media
population through each stage of the conversion process.
Librarian Stage
The responsibilities of the Librarians are key to FNTI's ability
to track a folder through the conversion process. The Librarians
use the Project Control Database (PCD) s the cornerstone to control
this execution. They are the pivot in checking media out and back
into the file room.
Scanning Stage
In this stage, electronic images of the folder are created via
the scanning process. Each shift has scan operators who are responsible
for scanning the prepped files using the latest technology.
The scan operator's primary objective in maintaining the integrity
of the paper includes producing high quality scans. When the scanner
operator recives a box they scan the barcode on the box and each
time the barcode updates the PCD. All elements of each stage of
the conversion are managed by the PCD, which forms the basis to
the scanning log and logs for other stages of the conversion process.
After a box of paper files has been accessed, they will disassedmble
and then accomplish the correct scanning process. When completed,
the documents will be grouped and reassembled then placed into
the conversion box..
Indexing Stage
The Indexing Stage is critical to accurately access the contents
of the new electronic folder. Each shift has indexers whose primary
function is to key the indexes. When the indexer receives a box
they scan the barcode on the box; each time the barcode updates
the PCD. The indexer fills out the Batch Cover Sheet to confirm
documents are indexed.
Quality Assurance Stage
The Quality Assurance Stage is the final step in the FNTI accuracy
verification process. The primary function of the QA operator
is to inspect 100% of the images processed. This operator will
check all images for completeness and legibility. When the QA
operator recives a box they scan the barcode on it and the individual
files as they are processed; each time the barcode updates the
PCD.
With each shift there is a QA Supervisor who has the authority
to coach personnel and implement corrective action for any errors
found during the QA inspection.
Export & Archive
A technical senior will manage the export and archive of converted
data. Once a box of images has been verified, FNTI will generate
final image media with indexes for the boxes and associated image
files.
Return of Original Documents
Once the files have been exported to the proper format, they will
be securely placed back in their boxes. The Barcoded Batch cover
Sheet will remain as the index to the boxed contents. The PCD
will then update the status to inform file room staff of the files
being returned. Each box is then transported back and checked
back into the file room by the Librarian..
